Ask which moments matter
Consider onboarding, team catch-ups, private conversations and cross-team work. Identify where the current setting makes these activities harder than they need to be.
Give shared settings a clear purpose
A breakout room or communal table works best when people understand how it can be used. Discuss expectations around calls, informal meetings, food and focused work.
Review the lived experience
Invite feedback after people have used a setting. Small adjustments to furniture, guidance or booking rules may help more than adding another decorative feature.
Translate values into behaviours
Ask what the business wants people to experience: clarity, openness, craft, energy or calm. Connect these words to planning and material decisions rather than applying them only as slogans.
Take this into your brief.
- Include team routines in the brief.
- Agree practical use conventions.
- Plan a feedback conversation after the move.
Write down one priority, one constraint and one question you still need to answer. Review them beside the plan or material sample before agreeing the next design decision.
